Use this interactive demo to learn how to export and back up a Microsoft Planner plan to Excel.

Quick summary

To back up Microsoft Planner, you can export any plan to Excel directly from the plan's top menu — no third-party tools required. This built-in export feature saves a full copy of your plan's tasks and data to your local storage as a downloadable Excel file.

Steps

  1. In the left-side panel, click My Plans to view all your available plans.
  2. Find and open the plan you want to back up by clicking on it.
  3. In the top menu bar, click the drop-down arrow next to the plan name.
  4. From the dropdown menu, click Export Plan to Excel.
  5. The selected plan will be exported and downloaded to your local storage as an Excel file — store it in a safe location as your plan backup.

📌 Why this matters

Microsoft Planner does not offer a native automatic backup feature, making manual exports essential for protecting project data. By using the built-in Export Plan to Excel option, teams can create a portable, offline copy of all tasks, assignments, and deadlines in seconds. This matters for organizations that need audit trails, project archiving, or business continuity planning without relying on third-party backup tools. Knowing how to back up Microsoft Planner ensures no critical task data is lost during plan deletions, tenant migrations, or accidental changes.
