Use this interactive demo to learn how to sync Microsoft Planner tasks into Power BI using Power Automate.

Quick summary

This tutorial shows how to connect Microsoft Planner to Power BI by building an automated cloud flow in Power Automate that exports task data as a JSON file to SharePoint, ready for import into your Power BI workspace.

Steps

  1. Head over to the left-side panel and click 'Create'.
  2. Select your preferred type of automation flow, such as an Automated cloud flow.
  3. Enter a unique flow name into the provided input field.
  4. Search for 'Planner' and select the trigger you want to use by ticking the check mark beside it.
  5. Click 'Create' to proceed and build the flow.
  6. Tap the Planner trigger tab to configure its parameters.
  7. Specify your Microsoft Planner group and plan by selecting from the respective drop-down menus.
  8. Click the 'Add' icon to set up the corresponding action for the flow.
  9. Search for 'Create File' and select the SharePoint option from the recommended matches.
  10. Fill in the required details: Site Address, Folder Path, File Name, and File Content. Use the JSON extension for the file name to simplify data copying.
  11. Tap 'Save' to save the flow.
  12. Test and enable the automation, then download the JSON file from SharePoint and import it into Power BI along with its file path.

📌 Why this matters

Connecting Microsoft Planner to Power BI unlocks powerful project analytics that Planner alone cannot provide. By using Power Automate to export Planner task data as a JSON file to SharePoint, teams can visualize task completion, workload distribution, and project progress directly in Power BI dashboards. This no-code automation eliminates manual data exports and ensures your Power BI reports always reflect the latest Planner data. For organizations already using the Microsoft 365 ecosystem, this workflow is the fastest way to turn task management data into actionable business intelligence.
