Use this interactive demo to learn how to build and save reusable email templates in Pipedrive.

Quick summary

Pipedrive's email templates feature lets sales teams create, save, and share reusable emails directly from the Inbox, streamlining outreach and ensuring consistent messaging across deals. With support for dynamic fields pulled from connected contacts and deals, templates reduce manual effort and speed up every stage of the sales process.

Steps

  1. Go to the profile icon in Pipedrive to view account options.
  2. Select Personal preferences from the dropdown menu.
  3. Navigate to Email sync in the preferences sidebar.
  4. Verify that email sync is enabled and active, as it is required for creating email templates.
  5. If Email Sync is already connected, confirm you see the full tabs and options, then proceed to the next step.
  6. Go to the Inbox section in Pipedrive.
  7. Click + New email to open the email compose window.
  8. In the compose window, locate the Choose template option below the subject line and click it to view or create templates.
  9. From the template list, select an existing template to edit, or click + Save draft as template to create a new one.
  10. Enter a name for your new template.
  11. Set Visibility to Private (only you) or Shared (your entire team) depending on your preference.
  12. Type your email content to build the body of the template.
  13. Use the Insert fields feature to add dynamic placeholders that auto-populate data from connected deals or contacts.
  14. Select the field type and field name, then click to insert the dynamic field into your template.
  15. When your template is ready, click Save in the bottom right corner.
  16. Click Choose template again in the compose window to confirm your new template appears in the list.
  17. Click on the template to select and apply it to your email.
  18. Your template will be inserted into the email, ready to be edited further or linked to deals and contacts.

📌 Why this matters

Email templates in Pipedrive eliminate repetitive writing by letting sales reps save, share, and reuse polished email drafts directly within their CRM workflow. The ability to insert dynamic fields — such as contact name, company, or deal data — means every email feels personalized without requiring manual edits each time. Shared templates ensure consistent messaging across the entire sales team, reducing onboarding time and maintaining brand voice at scale. For teams managing high volumes of outreach, Pipedrive email templates directly accelerate pipeline velocity and improve response rates.
