Use this interactive demo to learn how to export your Salesforce data in just a few steps.

Quick summary

Exporting Salesforce data lets admins back up or migrate CRM records by using the built-in Data Export tool inside Salesforce Setup. You can trigger a one-time export immediately or schedule recurring exports to run automatically and receive an email when the file is ready.

Steps

  1. Go to Setup from the Salesforce navigation menu.
  2. Search for Data Export using the Quick Find search box.
  3. Select the data objects you want to include in the export.
  4. Click the export button to start a one-time data export immediately.
  5. Alternatively, use Schedule Export to set up a recurring export for ongoing needs.
  6. Wait for an email notification confirming the export is complete, typically within 48 hours.

📌 Why this matters

Knowing how to export Salesforce data is essential for admins who need to back up CRM records, migrate data between orgs, or meet compliance requirements. The built-in Salesforce Data Export tool gives teams a secure, no-code way to download complete records without relying on third-party integrations. Scheduled exports ensure critical data is always available offline, reducing the risk of data loss and keeping reporting pipelines uninterrupted.
