Use this interactive demo to learn how to add password encryption to your MS Access database.

Quick summary

Password protecting a Microsoft Access database requires opening it in Exclusive mode and applying encryption via the Info menu. This prevents unauthorized access by prompting users for a password every time the database is opened.

Steps

  1. Open Microsoft Access but do not open the database yet — select 'Open' from the start screen.
  2. Under the 'Open' category, select 'Browse' to locate your database file.
  3. Select the database file you want to protect, click the arrow next to the 'Open' button, and choose 'Open Exclusive'.
  4. After opening in Exclusive mode, navigate to the 'File' menu.
  5. Click 'Info' in the left-hand panel.
  6. Select 'Encrypt with Password' to open the password dialog.
  7. Enter your chosen password in the dialog box.
  8. Confirm the password by entering it again, then click 'OK' to apply the encryption.
  9. Close and reopen the database to verify that the password prompt appears as expected.

📌 Why this matters

Password protecting a Microsoft Access database is a critical step for securing sensitive business data from unauthorized access. By encrypting the database with a password using Access's built-in Encrypt with Password feature, organizations can ensure that only authorized users can open and interact with the file. This is especially important for databases containing financial records, customer data, or proprietary information. Following a clear, step-by-step process — including opening the file in Exclusive mode — ensures the encryption is applied correctly and reliably.
