Use this interactive demo to learn how to compact and reduce your MS Access database size.

Quick summary

The Compact and Repair tool in MS Access reduces database file size by reclaiming unused space left behind after deletions and updates. You can also enable Compact on Close to automatically optimize your database every time it shuts down.

Steps

  1. Go to Database Tools in the MS Access ribbon.
  2. Select Compact and Repair Database to immediately reduce the database file size.
  3. To enable automatic compacting, click Options in the File menu.
  4. Select Current Database from the left-hand navigation panel.
  5. Check the Compact on Close option to automatically compact the database each time it closes.
  6. Click OK to apply and save your changes.

📌 Why this matters

Over time, MS Access database files grow bloated with unused space from deleted records and objects, slowing performance and inflating storage costs. The built-in Compact and Repair Database feature reclaims that wasted space, improving query speed and reducing file size without any data loss. Enabling the Compact on Close setting automates this maintenance task, ensuring your Access database stays optimized after every session. This is an essential best practice for any team relying on MS Access for day-to-day data management.
