Use this interactive demo to learn how to control access and permissions on a Power BI dashboard.

Quick summary

Securing a Power BI dashboard means controlling who can view or edit your data by using the built-in permission management tools. This walkthrough shows how to add users, assign access levels, and grant access directly from your workspace.

Steps

  1. Open My workspace to access the area where all your analytics projects are stored.
  2. Click on your Dashboard to view your key metrics and visualizations.
  3. Click the three-dot menu on the dashboard to open the sharing and collaboration options.
  4. Select Manage permissions to control who can view or edit your dashboard insights.
  5. Click Add user to begin granting access to a new team member.
  6. Enter the email address of the team member you want to collaborate with.
  7. Select the appropriate access level for the team member.
  8. Define what actions they are permitted to perform with your dashboard data.
  9. Click Grant access to complete the permission setup for the selected team member.

📌 Why this matters

Controlling who can view or edit a Power BI dashboard is essential for data governance and security in any organization. Power BI's built-in permission management lets administrators add users, assign granular access levels, and grant or restrict actions on sensitive dashboard data — all without leaving the workspace. This ensures that business intelligence reports are shared only with the right stakeholders, reducing the risk of unauthorized data exposure. For teams managing critical analytics, mastering Power BI dashboard security is a foundational step toward responsible, compliant data sharing.
