Use this interactive demo to learn how to invite external users into your Microsoft Planner via Teams.

Quick summary

Sharing Microsoft Planner with external users is done by adding them as a guest to the relevant Microsoft Teams team. Once added as a guest, the external user can access the Planner tab integrated within that team.

Steps

  1. On the main dashboard of your Teams account, navigate to the left-side panel and click Teams.
  2. Find and open the specific team where your Planner is currently integrated.
  3. Tap the More Options button next to the team's name.
  4. Choose Add Member from the list of options.
  5. Type the email address of the external user into the provided input field.
  6. Click Add as a Guest to confirm your request.
  7. Click Add to save the changes.
  8. The external user is now added to the selected team and can access the Planner whenever needed.

📌 Why this matters

Sharing Microsoft Planner with external users enables seamless cross-organization project collaboration without requiring guests to have a full Microsoft 365 license. By adding external collaborators as guests in Microsoft Teams, they gain direct access to shared Planner boards, task lists, and deadlines in real time. This is essential for teams working with contractors, clients, or partners who need visibility into project progress. The guest access workflow in Microsoft Teams is a practical, built-in solution for extending Planner collaboration beyond your organization's internal boundaries.
