Use this interactive demo to learn how to share Power BI reports with teammates and colleagues.

Quick summary

Sharing Power BI reports lets you distribute data insights across your organization by sending links, emails, or via Microsoft Teams and PowerPoint. You can control access permissions to determine who can view or reshare the report before sending it.

Steps

  1. On the Power BI homepage, locate the report you want to share and click its Open button.
  2. In the report view, click the Share button in the top menu bar.
  3. Tap the permission menu to open the sharing access options.
  4. Select your preferred sharing access level, configure its settings, and click Apply.
  5. Enter recipients' email addresses in the input field, add an optional note, and click Send to share the report directly.
  6. Alternatively, use other available sharing methods such as Copy link, Mail, Teams, or PowerPoint.

📌 Why this matters

Sharing Power BI reports effectively is critical for data-driven decision-making across teams and organizations. Power BI's built-in sharing features allow users to distribute interactive reports via direct email, shareable links, Microsoft Teams, and PowerPoint — all with granular permission controls. Knowing how to configure sharing access ensures sensitive data reaches only the right stakeholders, reducing security risks. This workflow is essential for analysts, business intelligence teams, and managers who need to collaborate on live data insights without exporting static files.
