How to Use Asana Timeline

Use this interactive demo to learn how to visualize and manage project tasks on the Asana Timeline.

Quick summary

The Asana Timeline is a Gantt-style project planning view that lets teams schedule, reschedule, and organize tasks visually by date. You can add tasks, drag them to new dates, bulk-reschedule, sort by assignee or due date, and customize color coding — all within a single project view.

Steps

  1. In your Project section, navigate to the Timeline menu.
  2. Review your tasks displayed as bars on the timeline — each bar's length represents the task's duration.
  3. Click a task box to view its subtasks; the subtask count appears next to the task name.
  4. In the task pane that opens, scroll down to see the subtasks listed below the parent task.
  5. Click an unscheduled subtask and schedule it directly from the task pane.
  6. Click the Add task button, name your task, and it will appear on the timeline.
  7. Drag the task bar along the timeline to position it on your preferred date.
  8. Hold the CTRL key to select multiple tasks and reschedule them in bulk.
  9. With multiple tasks multi-selected, drag them together to a more realistic date on the timeline.
  10. Sort your tasks on the timeline by start date, due date, or assignee using the sort options.
  11. Click the Save view button to preserve your current timeline layout as the default view.
  12. Click the Color option to open color preferences and customize how tasks are color-coded.
  13. Choose Asana Default to inherit existing Asana colors, or apply custom field-based color logic.
  14. Once your timeline is fully configured, save your changes to finalize the setup.

📌 Why this matters

Asana Timeline gives project managers and teams a clear, visual way to plan work across time — making it easy to spot scheduling conflicts, balance workloads, and keep every deadline in view. Unlike a basic task list, the Timeline's drag-and-drop rescheduling and bulk-edit features let teams adapt plans in seconds without losing context. Color coding by custom fields and the ability to drill into subtasks directly from the timeline make it a powerful tool for managing complex, multi-stakeholder projects. For teams evaluating project management software, Asana Timeline delivers the clarity of a Gantt chart with the flexibility of a modern work management platform.
