How to Use Microsoft Planner for Multiple Projects

Use this interactive demo to learn how to manage multiple projects in a single Microsoft Planner plan using task labels.

Quick summary

Microsoft Planner lets you manage multiple projects within a single plan by assigning task labels to categorize and track work across different projects. This method keeps all tasks in one place while making it easy to filter and identify which tasks belong to which project.

Steps

  1. Go to the left-side panel and click My Plans.
  2. Find and open the plan that contains the projects you wish to manage.
  3. Hover your mouse cursor over a task, then click its More Options button.
  4. Tap Label and select the label that matches the project the task belongs to.
  5. Repeat the same steps until all tasks are labeled according to their respective projects.
  6. With all tasks labeled by project, you can now efficiently manage multiple projects within one plan.

📌 Why this matters

Microsoft Planner does not natively support multiple projects within a single plan, but using task labels is a practical workaround that keeps all work consolidated in one view. By assigning color-coded labels to each task, teams can instantly distinguish which tasks belong to which project without switching between multiple plans. This approach improves project visibility, reduces context-switching, and helps teams prioritize work across projects more efficiently. For organizations already using Microsoft 365, this technique maximizes Planner's built-in features without requiring additional tools or subscriptions.
