Hands-on interactive demo to link Microsoft Excel data into your Adobe InDesign layouts.

‍

‍

Here’s a quick guide on how to link excel in Adobe InDesign:

‍

  1. To link an Excel file in Adobe InDesign, go to the top menu and click 'InDesign.'
  2. From the menu, select 'Preferences' → 'File Handling.'
  3. When the Preferences panel opens, check the option 'Create Links When Placing Text and Spreadsheets.'
  4. Click 'OK' to proceed.
  5. Now it’s time to import your Excel file. Navigate to the top menu and select 'File' → 'Place' to locate your file.
  6. Enable 'Show Import Options' to manage how external files like Excel or Word are brought into your InDesign document before placement.‍
  7. Choose your Excel file and click 'Open' to import and link it into your InDesign document.

📌 Why this matters

Linking Excel files instead of simply importing them keeps your data synchronized between applications. When you update numbers in your original spreadsheet, those changes automatically reflect in your InDesign layout without manual re-importing.

This becomes especially powerful for recurring publications like reports, catalogs, or presentations where data frequently changes. You maintain a single source of truth while ensuring your designed materials always display current information, eliminating the risk of outdated data appearing in final documents.
