Use this interactive demo to learn how to batch pay multiple bills at once in Xero.

Quick summary

Xero's batch payment feature lets you pay multiple bills at once by selecting them from the Bills to Pay section and processing them in a single transaction. This saves accounts payable teams time by eliminating the need to approve and pay each supplier invoice individually.

Steps

  1. On Xero's main dashboard, click 'Business' in the top menu bar.
  2. Select 'Bills to Pay' from the dropdown list of options.
  3. Navigate to the Awaiting Payment tab to view outstanding bills.
  4. Tick the checkbox beside each bill you want to include in the batch payment.
  5. Click the 'Batch Payment' button to group the selected bills together.
  6. Enter the required payment details, including Payment Date, Bank Account, and any other relevant information.
  7. Click 'Make Payments' to submit and process the batch payment.
  8. The selected Xero bills will be marked as paid simultaneously, completing the process.

📌 Why this matters

Paying bills one by one in accounting software is time-consuming and error-prone for finance teams managing high invoice volumes. Xero's batch payment feature lets businesses settle multiple supplier bills in a single transaction, reducing manual effort and speeding up accounts payable workflows. By selecting bills from the Awaiting Payment queue and processing them together, teams maintain accurate cash flow records without duplicating work. This makes Xero an efficient choice for small and mid-sized businesses that need streamlined, audit-ready bill payment processes.
