Use this interactive demo to learn how to log an insurance claim using a manual journal in Xero.

Quick summary

Recording an insurance claim in Xero is done through the Manual Journals feature under the Accounting menu, where you add a new journal line with the claim's description, account, tax rate, and amount, then post it to finalise the entry.

Steps

  1. On Xero's main dashboard, navigate to the top menu bar and click Accounting.
  2. Select Journal Report from the dropdown list of options.
  3. Click Go to Manual Journals to access the manual journals list.
  4. Find and open the journal you want to use for recording the insurance claim.
  5. Click Journal Options to reveal the available actions for that journal.
  6. Select Edit to open the journal in edit mode.
  7. Tap an empty line and enter the required insurance claim details, including Description, Account, Tax Rate, Region, and Amount (Debit or Credit).
  8. Review your input and click Post to apply and save the changes.
  9. Your insurance claim is now recorded in the selected Xero journal.

📌 Why this matters

Accurately recording insurance claims in your accounting system is critical for maintaining compliant financial records and ensuring correct expense categorisation. Xero's Manual Journals feature gives finance teams direct control over how insurance receipts and payouts are reflected in the general ledger, reducing the risk of misclassified entries. By guiding users through the exact steps — from the Accounting menu to posting a journal entry — this demo helps businesses maintain audit-ready books without relying on manual workarounds. For small businesses and accountants managing insurance-related transactions, this workflow ensures every claim is tracked, balanced, and properly documented in Xero.
